Returns policy

Last Updated: 23/09/2026

1. General Information

At R&M Automatic Solutions, we aim to provide quality products and services while maintaining clear processes for returns, cancellations and refunds.

This policy establishes the conditions applicable to:

  • Products;
  • Services;
  • Courses;
  • Orders;
  • Cancellations;
  • Returns;
  • Refunds;
  • Exchanges or credits.

Specific conditions established in a quotation, contract, purchase order or agreement accepted by the parties may establish different terms when expressly agreed upon.

2. Return and Refund Requests

All requests must be submitted through R&M Automatic Solutions' official communication channels and should include, where applicable:

  • Customer's name;
  • Order, service or enrollment number;
  • Date of the transaction;
  • Reason for the request;
  • Proof of payment;
  • Any additional information required to evaluate the case.

Submitting a request does not mean that the refund has been approved.

R&M will evaluate each request according to the type of transaction, the status of the order or service, the conditions previously agreed upon and the circumstances of the case.

3. Products

Product return conditions will depend on the nature of the product.

3.1 Products Available from Inventory

Where a return is applicable, the product must be in a condition reasonably consistent with the applicable return requirements.

Returns may be excluded for products affected by:

  • Normal wear and tear;
  • Misuse;
  • Impact damage;
  • Moisture damage;
  • Incorrect installation performed by third parties;
  • Unauthorized modifications;
  • Repairs performed by third parties;
  • Damage resulting from use other than the recommended or intended use.

3.2 Customized, Manufactured or Specifically Procured Products

Customized products, products manufactured specifically for a customer, or products specifically imported or procured for a customer may be subject to special return conditions or may not be eligible for return when their nature reasonably prevents resale.

These conditions will be communicated to the customer when applicable.

3.3 Medical and Technical Equipment

Due to the technical nature of certain equipment, a return may require prior inspection.

R&M may evaluate:

  • Physical condition;
  • Operation;
  • Installation;
  • Use;
  • Handling;
  • Modifications;
  • Repairs performed;
  • Accessories and components included.

Where a specific warranty is provided by the manufacturer, supplier or R&M, the applicable warranty conditions will apply.

4. Services

A service request does not necessarily create an automatic right to a refund.

The possibility of cancellation or a refund will depend on the stage of the service.

For example, a service may be:

  • Requested;
  • Quoted;
  • Approved;
  • Scheduled;
  • In progress;
  • Partially completed;
  • Completed.

If the service has already started, R&M may deduct amounts corresponding to work performed, materials, parts, travel, inspections or other costs actually incurred.

Where applicable, any remaining eligible amount may be refunded according to the applicable conditions.

5. Service Cancellation or Rescheduling

When a customer needs to cancel or modify an appointment, the customer should notify R&M as early as possible.

Depending on the status of the service and the previously agreed conditions, R&M may allow:

  • Rescheduling;
  • Date changes;
  • Time changes;
  • Credit toward another service;
  • Full or partial refund.

If the service requires a visit, inspection, travel, technical preparation or prior purchase of materials, certain costs may not be refundable when they have already been incurred.

6. Courses

Course enrollments are subject to specific conditions because resources may be reserved in advance, including instructors, materials, platforms, facilities and available seats.

6.1 Before the Course Begins

If a customer requests cancellation before the course begins, R&M will evaluate the request according to the enrollment conditions.

Where a cancellation qualifies for a refund, a partial refund may apply.

6.2 Once the Course Has Started

Once a course has started, the enrollment fee is non-refundable.

This applies to:

  • In-person courses;
  • Online courses;
  • Hybrid courses.

Access to digital materials, videos, documents, platforms or course content may be considered part of the service once access has been provided.

7. Course Withdrawal and Credit

When a participant requests to withdraw from a course and the request is approved before the non-refundable stage applies:

  • 75% of the enrollment fee may be refunded;
  • The remaining 25% will be retained as a credit toward another edition of the same course or another course agreed upon with R&M.

The credit will be subject to availability and the conditions applicable to the new course edition.

8. Course Cancellation or Modification by R&M

If R&M cancels, substantially modifies or reschedules a course, participants will be informed.

Depending on the circumstances, R&M may offer:

  • A new date;
  • Transfer to another course edition;
  • Credit;
  • Full or partial refund;

depending on the circumstances and costs already committed.

9. Refunds

When a refund is approved, R&M will process the applicable amount once the necessary conditions have been confirmed.

Whenever possible, refunds will be made using the same payment method originally used.

The actual time required to receive the funds may depend on:

  • Banks;
  • Payment processors;
  • PayPal;
  • Zelle;
  • Stripe;
  • Azul;
  • Other financial institutions.

R&M does not control processing times established by third parties.

10. Partial Refunds

A refund may be partial when:

  • A service has been partially performed;
  • Materials have been used;
  • Parts have been purchased;
  • Travel has been completed;
  • An inspection has been performed;
  • Third-party costs have been incurred;
  • The condition of a product affects its return;
  • A partial refund has been expressly agreed upon;
  • The specific terms of the transaction provide for a partial refund.

The final amount will be determined based on the circumstances of the transaction.

11. Defective Products or Issues Attributable to R&M

When a product has a defect attributable to R&M or the manufacturer and falls within the applicable warranty conditions, R&M may, as appropriate, offer:

  • Repair;
  • Replacement;
  • Exchange;
  • Credit;
  • Refund.

The applicable solution will depend on the nature of the defect, product availability, manufacturer conditions and circumstances of the case.

12. Situations Not Covered

The following situations will generally not be covered by this policy:

  • Normal wear and tear;
  • Improper use;
  • Incorrect installation performed by third parties;
  • Unauthorized modifications;
  • Impact damage;
  • Moisture damage;
  • Repairs performed by third parties;
  • Improper handling;
  • Use contrary to provided instructions.

This does not limit any rights that may be granted to consumers under applicable law.

13. Third-Party Products or Services

When R&M sells products, services, licenses or solutions provided by third parties, the policies and conditions of the applicable manufacturer, supplier or service provider may also apply.

When such conditions are relevant to the transaction, they may be communicated to the customer before the purchase or service is provided.

14. Promotions, Discounts and Vouchers

Products, services or courses purchased through:

  • Discounts;
  • Promotions;
  • Vouchers;
  • Credits;
  • Bonuses;
  • Special pricing;

may be subject to specific conditions.

These conditions may establish specific limitations regarding exchanges, cancellations, returns or refunds.

15. Credit or Alternative Solutions

When a full refund is not applicable, R&M may, where reasonable and agreed upon with the customer, offer:

  • Credit;
  • Product exchange;
  • Service exchange;
  • Transfer to another course;
  • Rescheduling;
  • Voucher;
  • Another mutually agreed commercial solution.

Providing one of these alternatives does not necessarily mean that R&M acknowledges that a refund is legally or contractually required.

16. Evaluation and Approval

Requests will be evaluated based on:

  • Type of transaction;
  • Order status;
  • Payment status;
  • Delivery status;
  • Service status;
  • Enrollment status;
  • Date of the request;
  • Specific conditions accepted by the parties;
  • Costs incurred;
  • Product or service conditions;
  • Supplier or manufacturer policies, where applicable.

R&M may request additional information before making a decision.

17. Relationship with System Statuses

For administrative purposes, refunds will be linked to the status of the relevant transaction.

For example:

Order:

Payment Pending → Partially Paid → Paid → Partially Refunded → Refunded

Service:

Requested → Approved → Scheduled → In Progress → Completed

A refund request may be evaluated according to the stage of the service.

Course:

Pending → Registered → Confirmed → In Progress → Completed

The Refunded status will be managed through the applicable refund process and will not necessarily replace the original enrollment history.

This allows R&M to maintain a clear record of the transaction, payment and any refund issued.

18. Changes to This Policy

R&M may update this policy when necessary due to changes in:

  • Services;
  • Products;
  • Internal processes;
  • Suppliers;
  • Payment methods;
  • Applicable laws and regulations.

Changes will not retroactively modify specific conditions previously agreed upon, except where necessary to comply with a legal obligation.
